Terms & Conditions for the Acceptance of all Bookings for
Wedding Receptions & Private or Corporate Events
to take place at the Whitminster House Estate properties & grounds
1. A deposit of 50% of the House or Grounds Hire Fee is to be paid with the Booking, and between 25%-50% of all Service Quotes when accepted & required to be confirmed. (clause 7)
2. Cancellation Insurance Options through Agents: For your protection & choice we recommend the Private Event Insurance Portfolio INSUREX (HISCOX) - Underwritten by Syndicate 33 at Lloyds, managed by Hiscox Syndicates Ltd., and have their forms here for your request. Alternatively if only accommodation cancellation Insurance is required, we recommend the website: www.travelfirst.co.uk or Tel: 01404 41234 direct, OR e-mail: enquiries@rothwellandtowler.co.uk
3. Any cancellation is required to be in writing. If a suitable substitute booking can be arranged in time the Owner(s) may at their sole discretion refund such part of the deposit as remains after deducting any expenses, losses incurred & of their agents & helpers. In any event a 25% min of the deposit is non-refundable for administration.
4. Unless otherwise advised in writing the cost for the hire of a Marquee or similar temporary structure (if any) will automatically include a % for insurance cover for theft, vandalism, fire, explosion, storm and tempest, & the first £250 of any such claim is the Client's sole responsibility to be paid to the Insurer, provider, or us, as appropriate.
5. The Owner(s) shall in no way be liable for loss, damage or injury caused by strike, industrial dispute, weather, war or other hostility, fire, flood, riot, civil commotion, serious injury, illness or death, nor for any defects or interruptions to supply of electricity, water or other services beyond their control.
NB. NO SMOKING - it is against the law to smoke in the premises or in the Marquee. Sand Buckets can be provided outside if required.
6. The Owner(s) will accept no liability for death or personal injury to visitors nor for loss or damage to visitor's cars or other belongings. Your special attention is drawn to the River Frome which flows through our grounds, please ensure that all guests and particularly parents with children are reminded of the need for them to take special care and full responsibility for them not to play dangerously near.
7. All deposits paid will be regarded as instalments towards the final payments due (subject to clause 3):
- a) firm quotes - three months before the date of the event
- b) variable estimates - one month before the event
- c) any additional charges due e.g. extra guests, drinks, expenses as applicable, are due to be paid within 14 days after the event, or may be deducted from the Bond taken if sufficient.
Upon acceptance of the Booking the Client becomes liable in full for all Quotes or Estimates agreed in Writing &/or Verbally.
8. It is necessary for the full privacy and convenience of your Reception to book certain of the Self-catering accommodations, depending on the location decided for your Marquee. Weekend Rates are offered for the Self Catering properties as available.
9. For Option 1. Receptions starting in the Manor House and extending into the night, guests are expected to move into the Marquee between 6pm to 8pm, as may be agreed in advance with the Owner, and the House doors then at the Owner`s discretion may be closed. The Reception thereafter may continue in the Marquee for as long as you wish, subject to any laws applicable for which compliance is required. The expected time table for ALL events must be agreed in advance with the Owner.
10.
- (a) For Option 1. Receptions using a Marquee together with the main House, the House hire charge includes reasonable use of the large downstairs Reception rooms (except the Library) for the first part of the Reception, and thereafter reasonable use of the grounds all round the House for the full Weekend.
- (b) The Marquee hire for all Receptions or events on any of our lawns includes reasonable use of this over the full weekend.
- (c) The Whitminster House Estate provides some free lighting for visitors walking back to the Car parking areas, and more can be provided from the Church - (contact the Rector or Church Wardens direct for this)
- (d) A member of the family or party is required to take responsible charge of the guest`s sensible parking, and the secure closing up of the Marquee at whatever time the Wedding Reception ends.
For ALL Receptions there are excellent photo opportunities in the grounds.
11. The Client undertakes to pay to the Owner the value of, or for the replacement of, or for the repair and reinstatement, as appropriate, of any part of the furnishings and premises above if damaged or destroyed during the occupancy, and to pay a BOND of £500 in advance, to be held for the House and/or for the Marquee as appropriate. This Bond is refundable in full or part as may be accounted for within 30 working days after the event.
12. The Owner reserves the right:
- a) For ALL OPTIONS to supply the services for the event in Whitminster House and grounds, and for these to be booked through the Whitminster House management office, subject to full discussion with the Client and their agreement to the quotes given. And for whichever service arrangements you may wish to make yourselves - we try to be as flexible as possible for your personal choices - our agreement is required in advance for the overall security of our premises.
- (b) For ALL OPTIONS - We reserve the right to decline a reservation, or any specific activity or arrangement, if it may be considered by the Owner or their Insurers to be possibly unsuitable or detrimental for the House &/or grounds.
N.B. We can offer competitive quotes for all requirements through our local contacts, & hold a Residential Licence.
13. The Client shall abide by all the booking terms for any of the services provided. Where the Owner acts as Agent a copy of the applicable Services terms & conditions will be forwarded to the Client for their signature.
14. The Owner undertakes to make every reasonable effort to consult the Client's detailed requirements and to try to satisfy these fully, in order to make the event as Special and Personal for each as they would wish.

Option 1: use of the House Reception rooms for the first part of the Reception & thereafter the party to continue in the Marquee set up on the spacious House lawns & for the remainder of the Weekend
Option 2 the Marquee to be set up on the large West Wing lawn also for the full Weekend
The accommodations in the West Wing Apartment, Old Stables, Lodge & Church cottages are required to be booked also for either Option the full privacy of your Weekend.
